How Billing Works
Understand the billing system, payment flow, and Stripe integration.
Overview
ITB Dashboard uses Stripe Connect to handle all billing operations. This means your clients pay through Stripe, and funds are deposited into your connected Stripe account.
The Payment Flow
Create an Invoice
From an Order detail page, open the Billing tab and click Create Invoice. The line items come from the Order's pricing; optionally set a due date. The invoice starts in Draft status.
Finalize and Send
When you click Finalize & Send, the invoice is finalized in Stripe, moves to Unpaid status, and the client receives an email with a secure payment link.
Client Pays Online
The client pays using credit card, debit card, or other payment methods configured in your Stripe account.
Dashboard Updates Automatically
When Stripe confirms payment, the invoice status updates to Paid and a payment transaction is recorded in your dashboard.
Stripe Connect Setup
Before you can accept payments, you need to connect your Stripe account:
Navigate to SettingsInvoices.
Click Connect with Stripe to start the onboarding process.
Complete Stripe's identity verification and bank account setup.
Once your account status shows Active, you can start creating and sending invoices.
Account statuses
Your Stripe connection can be in one of these states: Not Connected, Onboarding Incomplete, Restricted, or Active. Only an Active account can create invoices.
Invoices vs. Payments vs. Payouts

| Invoices | What you send to clients (line items, totals, due dates) |
| Payments | Incoming money from clients paying invoices |
| Payouts | Transfers from Stripe to your bank account |
Refunds
You can issue full or partial refunds from the invoice detail page. Refunds can only be issued on invoices with Paid or Partially Refunded status. The invoice status updates to Refunded or Partially Refunded accordingly.
Refund processing
Refund processing times depend on the client's bank. Stripe initiates the refund immediately, but it may take several business days to appear on the client's statement.
